Optimizer

This article only applies to RPM Onsite licenses using an Access database. To view the type of license you have, open the System Info screen under the RPM Help menu.

The Optimizer is used to compact your RPM database and repair any errors.  The Optimizer should be run on a regular basis, such as monthly. It should also be run before installing upgrades and after archiving case notes or transactions. It may also need to be run following a network or power outage. Some RPM errors will instruct you to run the Optimizer.

Any user can run the Optimizer. However, all other users must have RPM closed while the Optimizer is run.

If you have RPM open, follow the Optimizer from RPM instructions below. If you cannot open RPM, follow the Optimizer from Windows Start menu instructions.

Optimizer from RPM

If RPM is open, open the Tech Support screen (1) under the Help menu. Click Optimizer (2).

Follow the prompts to run the Optimizer.

The Optimizer may take several minutes to complete, depending on the size of your data file and when it was last run.

A message will display when complete.

Optimizer from Windows Start menu

To run the Optimizer, enter “Optimizer” in the Windows search box (1). Click on the Optimizer app (2) to run the utility.

Follow the prompts to run the Optimizer.

The Optimizer may take several minutes to complete, depending on the size of your data file and when it was last run.

A message will display when complete.

Optimizer from “RPM Server” folder

If you do not have the Optimizer on your Windows Start menu, run the application from the “RPM Server” folder. From your RPM Client computer, navigate to the “RPM Server” folder (using File Explorer, for example) and double-click on the Optimizer application to run it.

Before the process begins, a message will display telling you that RPM must be shut down and asking if you want to continue. Click Yes to run the Optimizer.

A message will display when complete.

Message about corrupted or missing data?

While running the Optimizer, RPM will sometimes find corrupted or missing data that needs repaired. A message similar to this one might display while the Optimizer is running:

If this happens, see our Optimizer – Repair data article for more information about the repair process.
